The webinar, focused on practical solutions rather than theory, walked through how routing software, mobile apps, and data tracking can stretch a smaller workforce much further.

One of the main points was that technology cannot replace a driver, but it can make the drivers you have more effective. For example, modern routing systems can cut deadhead time, reduce idle minutes, and cluster stops more tightly. That means a driver can finish a route sooner and be available for a second run or a field trip. Several speakers shared case studies where districts reduced total route time by 10 to 15 percent just by reworking stop sequences and using real-time traffic data.

Another area covered was communication. Apps that let drivers report mechanical issues or student behavior instantly were shown to reduce downtime. Instead of waiting for a dispatcher to call in a repair, the system flags it right away. The webinar also touched on using tablets for digital pre-trip inspections, which cuts paperwork and makes it easier to spot recurring problems.

The conversation did not ignore recruiting. A few panelists suggested that tech can help with retention too. Better schedules, fewer split shifts, and clearer communication from the office all make the job less stressful. One district noted that after adopting a driver-facing app for shift swaps and overtime requests, they saw a noticeable drop in last-minute callouts.

While no one claimed a silver bullet, the overall message was clear. Agencies that use the tools already available can ease the pressure of the shortage, even if they cannot fully solve it. The session ended with a reminder that small changes, repeated across many routes, add up to real savings in time and energy.
